purpose

The quoting process represents the standard procedure for creating an offer. It begins with the presence of a specific customer request including the specification sheet and ends with the completed offer.

The aim is to develop a solution that corresponds as closely as possible to the customer's defined and undefined requirements. At the same time, legal and financial risks for ARTS are to be limited.

1. Conduct technical and economic feasibility study

  • Responsibility: Project Manager

  • The customer's specification sheet is checked for feasibility. A technical and an economic feasibility analysis is carried out for this.

  • Based on the feasibility analysis, a risk assessment for the potential project is made and a recommendation is made.

  • It is important to ensure that project payments in a currency other than the euro are avoided.

2. Project suitable for the ARTS Solutions?

  • Responsibility: Management 

  • The suitability of the project for ARTS Solutions is measured using the following criteria:

    • Calculated contribution margin> 20%

    • Technical feasibility given

    • The project is within the competence of ARTS Solutions or can be procured externally.

    • Human resources available

  • If the potential project is suitable for ARTS Solutions, an internal kick-off will be carried out.

  • If the potential project is not suitable for ARTS Solutions, the management takes over responsibility.

3. Transfer to the ARTS group

  • Responsibility: Management 

  • The project request is passed on to the ARTS Group and thus leaves the area of ​​responsibility of ARTS Solutions.

4. Conduct internal kick-off meeting

  • Responsibility: Project Manager

  • An internal kick-off will be carried out. There is a detailed discussion of the customer request. Further participants in the meeting will be selected according to technical and organizational criteria.

5. Create functional specification

  • Responsibility: Project Manager

  • The technical specification sheet for the project is created based on the customer's requirements. A special aspect in the creation is the integration of the project into the structures of the customer (QM, production location, etc.).

6. Draw up calculation

  • Responsibility: Project Manager

  • A project calculation is made on the basis of the specification sheet (see form).

7. Conduct internal review

  • Responsibility: Project Manager

  • The project manager discusses the developed documents with legal, marketing and, if necessary, technical staff.

  • The feedback received is incorporated.

8. Create proposal

  • Responsibility: Project Manager

  • All developed documents (specification and calculation) are brought together and the offer is formulated. The offer is structured individually and according to the requirements of the customer.

  • Depending on the customer's requirements, there can be a division into a technical and an economic offer.

9. Conduct final feedback loop and adjustments

  • Responsibility: Project Manager

  • A final feedback loop is carried out from a technical and organizational point of view.

  • The feedback is incorporated. The finished offer is now created.
